Data Protection and Privacy Statement

The MAELSTROM consortium takes great care to protect personally identifiable information of all data subjects with whom MALESTROM interacts.

Throughout 2018 and 2019, ECMWF has been implementing all elements of ECMWF’s Policy on Personally Identifiable Information Protection (PIIP) that aims to ensure an adequate level of protection relative to the European Union’s standards reflected in Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, the General Data Protection Regulation (GDPR). While these standards do not directly apply to ECMWF, an inter-governmental organisation, ECMWF has chosen to provide, as controller or processor, similar and appropriate safeguards through its PIIP. By accessing the MALESTROM website, some of your personal data will be collected and processed by MALESTROM.

1. Data controller

This site is operated by ECMWF on behalf of the MALESTROM consortium.

2. Categories of Data Processed

When accessing the MALESTROM website, your Internet Protocol (IP) address will be recorded.

When signing up to our mailing list , the only personal data collected and further processed is your email address.

When contacting us through the website’s contact form, the only personal data collected and further processed is your name and email address.

3. Purpose(s) of the Processing

When you access the MAELSTROM website, we may use the personal data collected to perform an analysis of the use of the services and to derive use statistics of all items and services available on the MAELSTROM website in order to improve service performance as well as user relations and experience.

When you sign up to our mailing list , we collect and process your personal data to provide you with information updates about our services and events.

When you contact us through the website’s contact form, we collect and process your personal data to respond to any queries you have raised.

4. Recipients of the Data Processed

For the purpose detailed above, access to your personal data is given to ECMWF and members of the MAELSTROM Consortium (4CAST GMBH & CO KG, E4 COMPUTER ENGINEERING SPA, CEIDGENOESSISCHE TECHNISCHE HOCHSCHULE ZUERICH, FORSCHUNGSZENTRUM JULICH GMBH, METEOROLOGISK INSTITUTT, UNIVERSITE DU LUXEMBOURG).

Where it is necessary in the operation of our services, we may share (or enable access to) your personal data with trusted partners, including service providers or other partners who help us deliver our products and services, perform statistical analysis, manage email services, provide user support.

We will only transfer personal data outside the European Economic Area or to another international organisation if we determined that adequate safeguards are in place to protect such personal data.

5. Security of your personal data

ECMWF secures your personal data from unauthorised access, use or disclosure.  Our computer servers and software applications operate in a controlled, secure environment and we adopt internationally recognised security best practice standards and techniques to manage the security of your personal information throughout its lifetime, from creation to destruction. We have implemented robust processes to deal with any suspected security incidents that may include notifying you of any breaches of your personal data.

6. Right of Access, Rectification, Erasure and Objection

You may ask ECMWF to access a copy of your personal data, as well as to rectify and erase any such data. You have right to object to ECMWF processing your personal data. 7. Data Retention

The information collected and processed when accessing our web will be retained for 5 years.

The information you provide when signing up to our mailing list or contacting us through the website’s contact form will be retained for the duration of the MAELSTROM project.

Please note that ECMWF will not be in control of personal data which it legally passed on to other data controllers.

8. Concerns and Complaints

ECMWF does not accept any liability with a view to obligations under applicable personally identifiable information legislation for any third party website which are linked to through the MAELSTROM website. Please refer to the privacy policy governing each of these websites.

If you have a concern or complaint about the way that your personal data has been or is being processed, please direct it to the ECMWF PII Protection Officer, Shinfield Park, Reading, RG2 9AX, United Kingdom (pii‐protection‐officer@ecmwf.int).

9. Changes to this Data Protection and Privacy Statement

ECMWF will occasionally update this Data Protection and Privacy Statement to reflect organisational changes and user feedback.  We encourage you to periodically review this Data Protection and Privacy Statement to stay informed on how we use and protect your personal information.

Logos and Pictures

1. ECMWF Logo

Owners of external web sites who would like to link to the ECMWF web site may use the ECMWF logo for the link but for no other purposes.

2. European Emblem

The principles of use of the European Emblem by third parties have been set out in an administrative agreement with the Council of Europe. This agreement has been published in the Official Journal of the European Union on 08/09/2012 (2012/C 271/04).

According to this agreement, any natural or legal person (“third party user”) may use the European Emblem or any of its elements, as long as this use

(a) does not create the impression or assumption that there is a connection between the third party user and any of the institutions, bodies, offices, agencies and organs of the European Union or the Council of Europe where this connection does not exist;

(b) does not lead the public to believe that the user benefits from the support, sponsorship, approval or consent of any of the institutions, bodies, offices, agencies and organs of the European Union or the Council of Europe where this is not the case;

If the use of the European Emblem complies with the above conditions, there is no need to ask for written permission.

3. Press Pictures

ECMWF press photos may only be used for editorial purposes. All copyrights belong to ECMWF, unless another copyright is expressly given. Copyrights remain undiminished if the pictures are incorporated into an archive, either electronically or manually. Pictures used for editorial purposes, modified, duplicated and/or electronically altered must bear the credit “© ECMWF” embedded in the picture’s metadata. Commercial use or sale of the pictures and data, even in electronically manipulated form, is prohibited.

Specific restrictions regarding the use of the pictures may arise from the picture caption.

The photos may be printed free of charge, but in the case of print media we would appreciate a copy for our records. If pictures are used in films or electronic media, brief notification would suffice.
